Scope
The purpose of this role is to coordinate activities associated with the VF Programme, ensuring milestone- related activity is correctly tracked and timely reported onto various databases and progress tracking systems.
The role holder will provide support to the Vodafone team as directed by the Assistant Project Manager in order to aid successful delivery of the programme. This will include monitoring key milestones and driving their progress.
The role holder will also liaise with suppliers associated with the programme and ensure their progress is correctly tracked and recorded.
Key Accountabilities/Responsibilities
Delivery/Contractual Management
- Meeting internal and customer SLAs and quality targets across a range of activities and milestones required for the overall success of the VF programme.
Client Management
- Communicating with customer contacts to request approval of documents, finance approvals, etc. Attending client meetings online and in person to ensure full awareness of project status and build positive relationships.
Supplier Management
- Coordination of external suppliers completing activities that either directly or indirectly contribute to the achievement of the VF milestones.
Systems
- Maintenance and upkeep of project and programme related data on internal and external systems, to include; Site Tracker, Evenflow & Caesium.
People
- Matrix Management of internal and external stakeholders and direct contributors to the Programme.
Data
- Work with the Assistant Project Manager, Internal and external expertise to keep data on the internal and client systems up to date in real time.
- Help identify gaps or inconsistencies in project data and drive completions/corrections
Finance/budget
- Ensure surveys, drawings, HOPs and other finance-impacting tasks are completed accurately and within designated timescales. Ensuring milestone completion is correctly recorded in order to allow timely Customer billing and Supplier payments.
Governance and Compliance
- Ensure all tasks are undertaken in accordance with the appropriate Customer and guidance
Performance Measurement
- Meet specific measures agreed in line with the Client’s SLA
- Positive feedback from managers and PMs re: deadlines met, accuracy and quality of information and data input
- Positive general feedback from Customers in project administration expectations being met
- Positive upward feedback from those that are managed in terms of appropriate behaviours and ability to lead, motivate and develop
Person specification
- Experience in administration and coordination
- Demonstrable Advanced IT skills (Microsoft Office)
- Experience of managing and developing effective and efficient processes
- Able to get to Newbury office
